1. Purpose
This Cancellation & Refund Policy applies to exhibitor registrations for the 2027 World Art Project International Show (“Show”), organized by Art Barn International (“Art Barn International,” “we,” “us,” or “our”).
This Policy explains the conditions under which an exhibitor may cancel a registration, request a refund, substitute another exhibitor, or receive a refund or credit if the Show is cancelled, postponed, or materially changed.
By submitting an exhibitor registration and making payment, the exhibitor acknowledges and agrees to this Cancellation & Refund Policy.
This Policy should be read together with the:
Exhibitor Registration Terms & Conditions; and
Applicable Art Barn International Privacy Policy.
2. Registration Fees
The standard exhibitor registration fees for the 2027 World Art Project International Show are:
United States Resident Exhibitor — $100 USD
International Exhibitor — $150 USD
The applicable registration fee is determined by the exhibitor’s Country of Residence as provided during registration.
All registration fees are charged in United States Dollars (USD) unless otherwise stated.
3. Cancellation Requests
An exhibitor who wishes to cancel a registration must notify Art Barn International in writing.
Cancellation requests should be sent by email to sales@artbarninternational.store
The email should include:
Exhibitor’s full name;
Exhibitor or display name;
Email address used during registration;
Registration or payment reference, where available;
Reason for cancellation; and
Any other information reasonably required to locate the registration.
A cancellation is not considered received until Art Barn International receives the written request.
Telephone calls, social media messages, verbal statements, or non-attendance at the Show do not constitute formal cancellation unless Art Barn International expressly confirms otherwise in writing.
4. Cancellations Received on or Before May 31, 2027
An exhibitor who submits a valid written cancellation request on or before May 31, 2027 may receive a refund of the registration fee less a $50 USD administrative and processing fee.
Accordingly:
United States Resident Exhibitor
Original Registration Fee: $100 USD
Less Administrative Fee: $50 USD
Refund: $50 USD
International Exhibitor
Original Registration Fee: $150 USD
Less Administrative Fee: $50 USD
Refund: $100 USD
Any additional third-party expenses personally incurred by the exhibitor are not included in the registration-fee refund.
5. Cancellations Received June 1–10, 2027
Written cancellation requests received between June 1 and June 10, 2027 are eligible for a refund equal to 50% of the registration fee paid.
Accordingly:
United States Resident Exhibitor
Registration Fee: $100 USD
Refund: $50 USD
International Exhibitor
Registration Fee: $150 USD
Refund: $75 USD
The remaining 50% will be retained to cover event commitments, administration, planning, space allocation, production, and other costs associated with the exhibitor’s confirmed participation.
6. Cancellations After June 10, 2027
No registration-fee refunds will normally be issued for cancellations received after June 10, 2027.
This includes:
Cancellations made on June 11, 2027;
Cancellations made during the Show;
Failure to attend;
Failure to set up an allocated exhibition space;
Early departure from the Show; or
Abandonment of an exhibition space.
Exceptions may be considered where required by applicable law or where Art Barn International determines that exceptional circumstances justify a different outcome.
Any exception is discretionary unless otherwise required by law and does not establish a precedent for other registrations.
7. Late and Onsite Registrations
Registrations received after June 10, 2027 may be handled onsite or as late registrations, subject to space and availability.
A late or onsite registration may be subject to an additional $60 USD late registration fee.
Late and onsite registrations are generally non-refundable once accepted and processed, except where required by applicable law or where the Show is cancelled by Art Barn International.
Acceptance of a late registration is not guaranteed.
8. No-Show Exhibitors
An exhibitor who completes registration but does not attend the Show and has not submitted an eligible cancellation request within the applicable cancellation period will be considered a no-show.
No-show registrations are non-refundable.
Failure to:
Obtain transportation;
Arrange accommodation;
Complete travel plans;
Bring artwork;
Arrive at the venue;
Complete setup; or
Attend one or both Show days
does not by itself create an entitlement to a refund.
9. International Exhibitors and Visa Refusals
International exhibitors are responsible for obtaining all passports, visas, travel authorisations, immigration approvals, and other documents required for travel to the United States.
An Official Invitation Letter issued by Art Barn International is intended only to confirm event-related information and does not guarantee:
Visa approval;
A visa interview;
Expedited visa processing;
Entry into the United States;
Approval by U.S. immigration authorities; or
Any other immigration or travel benefit.
A visa refusal, delayed visa decision, inability to obtain a visa appointment, or failure to obtain required travel documentation does not automatically entitle an exhibitor to a refund.
Any cancellation resulting from a visa or immigration issue will be subject to the same cancellation deadlines and refund rules contained in this Policy.
International exhibitors are therefore encouraged to register and begin any required travel or visa processes sufficiently early.
10. Travel Disruptions
Art Barn International is not responsible for an exhibitor’s inability to attend because of circumstances relating to personal travel arrangements, including:
Cancelled or delayed flights;
Missed flights;
Airline disruptions;
Passport issues;
Visa issues;
Border or immigration decisions;
Transportation delays;
Accommodation problems;
Personal scheduling conflicts;
Lost luggage;
Shipping delays; or
Other travel difficulties.
Refund requests arising from these circumstances remain subject to the cancellation deadlines in this Policy.
11. Illness, Emergency or Personal Circumstances
Art Barn International understands that illness, bereavement, family emergencies, accidents, or other serious personal circumstances may arise.
Such circumstances do not automatically override this Policy.
However, Art Barn International may, at its discretion and where reasonable, consider a request for an exception.
The exhibitor may be asked to provide sufficient information to allow the request to be assessed.
Exhibitors should not submit unnecessary sensitive medical information unless specifically requested.
Where an exception is approved, Art Barn International may offer:
A full refund;
A partial refund;
A credit;
A registration transfer;
A substitution; or
Another reasonable solution.
Any exception is considered individually.
12. Exhibitor Substitutions
Where an exhibitor is unable to participate, Art Barn International may permit another eligible individual or organisation to take their place.
All substitutions:
Must be requested in writing;
Require approval by Art Barn International;
Must provide any necessary replacement registration information;
May require new badge or directory information;
Must comply with the Exhibitor Registration Terms & Conditions; and
May be subject to an administrative fee where applicable.
Approval of a substitution is not automatic.
An exhibitor may not independently sell, assign, or transfer exhibition space to another party without Art Barn International’s approval.
13. Registration Transfers
Unless expressly approved by Art Barn International, registration fees cannot automatically be:
Transferred to another event;
Applied to a future year’s Show;
Converted into store credit;
Applied to another exhibitor;
Applied to advertising fees; or
Used for another Art Barn International product or service.
Any approved transfer or credit must be confirmed in writing.
14. Brochure Advertising
Fees associated with advertising in the World Art Project International Show Brochure, where applicable, may have separate cancellation and refund conditions.
Unless otherwise stated, payment for brochure advertising is separate from the exhibitor registration fee.
Cancelling an exhibitor registration does not automatically cancel or refund a brochure advertising order.
Likewise, cancelling an advertisement does not automatically cancel the exhibitor’s Show registration.
Exhibitors should contact Art Barn International promptly regarding any advertising cancellation.
15. Optional Rentals and Additional Services
Payments for optional items such as:
Tables;
Chairs;
Additional badges;
Equipment;
Electricity;
Transportation;
Shipping;
Storage;
Advertising;
Special services; or
Other rentals
may be subject to separate cancellation rules depending on whether the item has already been ordered, reserved, produced, or supplied.
Cancelling the main exhibitor registration does not necessarily create an automatic right to a refund for separate products or services.
16. Duplicate Payments
If an exhibitor is accidentally charged more than once for the same registration, the exhibitor should contact Art Barn International promptly.
Once the duplicate transaction is verified, Art Barn International will arrange an appropriate refund of the duplicate amount.
A duplicate-payment refund is not treated as an exhibitor cancellation and is not subject to the cancellation penalties in this Policy.
17. Incorrect Registration Fee
If an incorrect registration fee is charged because of a technical or administrative error, Art Barn International may:
Refund the overpayment;
Request payment of an outstanding balance;
Correct the registration record; or
Take another reasonable action necessary to correct the transaction.
An exhibitor must provide accurate information concerning country of residence and other information used to determine the applicable registration fee.
Intentionally providing inaccurate information to obtain a lower registration fee may result in:
Payment of the outstanding balance;
Suspension of registration; or
Cancellation of participation.
18. Refund Method
Approved refunds will normally be returned through the original payment method used for the registration.
Where payment was processed through Stripe, the refund may be processed through Stripe.
Art Barn International generally cannot redirect a card refund to:
A different credit or debit card;
A different bank account;
Another person’s account; or
An unrelated payment method.
Where the original payment method cannot receive the refund, Art Barn International and the payment processor will determine an appropriate available method where possible.
19. Refund Processing Time
Art Barn International will endeavour to initiate approved refunds within a reasonable period after:
The cancellation request has been received;
Eligibility has been verified; and
Any necessary information has been confirmed.
After Art Barn International initiates a refund, the time required for the funds to appear in the exhibitor’s account is controlled by the applicable:
Bank;
Card issuer;
Payment network; and/or
Payment processor.
Art Barn International cannot guarantee the exact date on which a financial institution will make refunded funds available.
20. Foreign Currency and Exchange Rates
All Show registration fees and refund amounts under this Policy are calculated in United States Dollars (USD).
An international exhibitor’s bank, card issuer, or payment provider may convert the original payment or refund into another currency.
Exchange rates may change between:
The original transaction date; and
The refund date.
As a result, the amount received in an exhibitor’s local currency may differ from the amount originally paid in that local currency.
Art Barn International does not control foreign exchange rates or currency-conversion charges imposed by financial institutions.
21. Bank and Payment Provider Charges
Banks, card issuers, payment providers, and other financial institutions may impose fees associated with:
International payments;
Currency conversion;
Card transactions; or
Other financial services.
Such independently imposed fees are outside Art Barn International’s control and are generally not refundable by Art Barn International.
22. Chargebacks and Payment Disputes
Exhibitors are encouraged to contact Art Barn International first if they believe:
They were charged incorrectly;
A duplicate charge occurred;
A promised refund has not been received;
Their registration was not properly processed; or
Another payment issue exists.
Art Barn International will make reasonable efforts to investigate and resolve legitimate payment concerns.
Submitting a false, fraudulent, or knowingly improper chargeback may result in cancellation of the associated registration and may be contested through the applicable payment provider.
Nothing in this section prevents an exhibitor from exercising lawful rights relating to payment disputes.
23. Cancellation of the Show by Art Barn International
If Art Barn International cancels the entire Show and does not provide a replacement date or substantially equivalent alternative, registered exhibitors will normally be eligible for a refund of the registration fee paid.
Art Barn International will communicate applicable refund arrangements to affected exhibitors.
Unless expressly stated otherwise, Art Barn International is not responsible for reimbursing exhibitors for independent expenses such as:
Airfare;
Hotel bookings;
Visa application fees;
Passport costs;
Travel insurance;
Ground transportation;
Artwork production;
Artwork shipping;
Customs charges;
Equipment rental from independent providers;
Lost income; or
Other consequential or third-party costs.
Exhibitors are encouraged to purchase refundable travel arrangements or suitable insurance where appropriate.
24. Postponement or Rescheduling of the Show
If the Show is postponed or rescheduled, Art Barn International may transfer existing registrations to the new event date.
Affected exhibitors will be notified of the new arrangements.
Depending on the circumstances, Art Barn International may provide exhibitors with one or more of the following:
Automatic transfer of registration;
Opportunity to accept the new date;
Event credit;
Partial refund;
Full refund; or
Another reasonable alternative.
The specific remedy will depend on the circumstances surrounding the postponement and any applicable legal obligations.
25. Change of Venue
A reasonable change of venue within the same general geographic area does not automatically constitute cancellation of the Show.
If Art Barn International must materially relocate the Show, registered exhibitors will be notified.
Where the relocation substantially affects an exhibitor’s ability to participate, Art Barn International may consider appropriate cancellation or refund options depending on the circumstances.
26. Changes to Event Programming
Changes to:
Speakers;
Programmes;
Activities;
Networking events;
Floor layouts;
Exhibitor positions;
Opening hours;
Event features; or
Other components of the programme
do not normally constitute cancellation of the Show and do not automatically entitle an exhibitor to a refund.
Art Barn International reserves the right to make reasonable operational changes necessary to deliver the event.
27. Force Majeure and Circumstances Beyond Reasonable Control
The Show may be affected by circumstances outside Art Barn International’s reasonable control, including:
Severe weather;
Natural disasters;
Fire;
Flood;
Public health emergencies;
Epidemics or pandemics;
Acts of government;
Government restrictions;
Civil disturbance;
War;
Terrorism or credible security threats;
Labour disputes;
Transportation disruption;
Utility failures;
Venue closure;
Infrastructure failure;
Acts of God; or
Similar events beyond reasonable control.
Where such circumstances require cancellation, postponement, relocation, or material modification of the Show, Art Barn International will make reasonable efforts to communicate available options to affected exhibitors.
Refunds or credits will be determined having regard to the circumstances, commitments already incurred, applicable law, and any alternative arrangements offered.
Nothing in this section limits rights that cannot lawfully be excluded.
28. Removal for Breach of Event Rules
An exhibitor removed from the Show because of serious misconduct or a material breach of the Exhibitor Registration Terms & Conditions is not automatically entitled to a refund.
Examples may include removal because of:
Violence;
Serious harassment;
Fraud;
Theft;
Illegal activity;
Serious safety violations;
Intentional property damage;
Sale or display of prohibited materials; or
Repeated refusal to follow reasonable event instructions.
Any refund decision following removal will depend on the circumstances and applicable law.
29. Rejection of Registration by Art Barn International
If Art Barn International declines an exhibitor registration after payment has been successfully collected, and the rejection is not caused by fraud, misrepresentation, unlawful conduct, or a material violation by the applicant, Art Barn International will normally refund the registration fee paid.
This does not require Art Barn International to reimburse unrelated travel or third-party costs.
30. Privacy and Refund Information
Personal information collected in connection with:
Cancellation requests;
Refunds;
Payment disputes;
Substitutions; or
Related communications
will be handled in accordance with the applicable Art Barn International Privacy Policy.
Payment processors such as Stripe may separately process payment and refund information in accordance with their own privacy and security practices.
31. Policy Changes
Art Barn International may update this Cancellation & Refund Policy where reasonably necessary.
Changes will be reflected by updating the Last Updated date at the beginning of this Policy.
A material change will not ordinarily be applied retroactively to disadvantage an exhibitor who completed and paid for registration under an earlier version, except where necessary to comply with applicable law or where the exhibitor expressly agrees.
32. Governing Terms
This Cancellation & Refund Policy forms part of the terms governing exhibitor registration for the 2027 World Art Project International Show.
Where there is an inconsistency between general promotional material and this published Cancellation & Refund Policy, the terms specifically agreed to during registration should govern to the extent permitted by applicable law.
Nothing in this Policy limits any right or remedy that cannot lawfully be waived or excluded.
