1. Introduction and Acceptance

These Exhibitor Registration Terms & Conditions (“Terms”) govern registration for and participation in the 2027 World Art Project International Show (“Show”), organized by Art Barn International (“Art Barn International,” “we,” “us,” or “our”).

By submitting an exhibitor registration, making payment, accepting an exhibition space, or participating in the Show, the individual or organization registering (“Exhibitor,” “you,” or “your”) acknowledges that they have read, understood, and agree to comply with these Terms.

These Terms should be read together with the:

  • Art Barn International Privacy Policy; and

  • World Art Project International Show Cancellation & Refund Policy.

If you are registering on behalf of a company, gallery, organization, dealer, collective, or another person, you confirm that you have authority to accept these Terms on their behalf.

2. About the Show

The 2027 World Art Project International Show is scheduled to take place on: June 12–13, 2027 at Agri-Plex
Allentown, Pennsylvania
United States of America.

The Show is intended to provide artists, dealers, exhibitors, collectors, creatives, and other participants with an opportunity to exhibit artwork, connect with audiences, network, and participate in activities associated with the event.

Art Barn International reserves the right to make reasonable changes to event programming, schedules, layouts, exhibitor arrangements, or related operational matters where necessary.

3. Exhibitor Eligibility

Registration is open to eligible artists, dealers, galleries, organizations, collectives, creatives, and other approved exhibitors.

Art Barn International reserves the right to:

  • Review exhibitor applications;

  • Request additional information about an exhibitor or proposed display;

  • Decline an application where necessary;

  • Reject material that is unlawful, unsafe, fraudulent, misleading, discriminatory, obscene, infringing, or otherwise inappropriate for the Show;

  • Refuse participation where an applicant has materially misrepresented information; or

  • Remove an exhibitor who seriously or repeatedly violates these Terms or applicable event rules.

Submission of a registration form does not override the organizer’s right to determine whether a proposed exhibit is suitable for the Show.

4. Accuracy of Registration Information

Exhibitors must provide complete, current, and accurate information when registering.

Information may include:

  • Exhibitor or display name;

  • Full legal or contact name;

  • Company or organisation name, if applicable;

  • Telephone number;

  • Email address;

  • Country of residence;

  • Address;

  • Exhibitor type;

  • Art medium;

  • Payment information;

  • Communication preferences; and

  • Other information reasonably required for participation.

Exhibitors must notify Art Barn International promptly if material registration information changes.

Art Barn International is not responsible for delays, missed communications, badge errors, directory errors, or other problems caused by incorrect or incomplete information supplied by an exhibitor.

5. Exhibitor or Display Name

The exhibitor or display name entered during registration may be used for:

  • Exhibitor badges;

  • Event signage;

  • Exhibitor listings;

  • Show directories;

  • Administrative records; and

  • Other Show-related materials.

Exhibitors are responsible for ensuring that the submitted display name is spelled and formatted correctly.

Changes requested after materials have entered production may not always be possible.

6. Registration Fees

The standard exhibitor registration fees are:

United States Resident Exhibitor — $100 USD

International Exhibitor — $150 USD

For purposes of registration, the applicable fee is determined according to the exhibitor’s Country of Residence selected on the registration form.

All fees are stated and charged in United States Dollars (USD) unless otherwise stated.

The exhibitor is responsible for any:

  • Foreign exchange conversion;

  • Bank charges;

  • Card issuer charges;

  • International transaction fees; or

  • Other fees imposed by the exhibitor’s own bank or payment provider.

7. Payment

Registration payment is processed electronically through the payment method made available on the registration form, including Stripe.

Payment must be successfully completed for a paid registration to be considered complete, unless Art Barn International expressly approves another arrangement in writing.

A registration form that is submitted without successful payment may be treated as:

  • Incomplete;

  • Pending payment; or

  • Unconfirmed.

Art Barn International may contact the exhibitor where payment has failed, been reversed, disputed, cancelled, or remains outstanding.

8. Payment Authorization

By submitting payment, the exhibitor confirms that:

  • They are authorized to use the selected payment method;

  • The payment information supplied is accurate;

  • The applicable registration fee may be charged;

  • The transaction relates to registration for the Show; and

  • Any refund request will be handled in accordance with the applicable Cancellation & Refund Policy and these Terms.

Unauthorized payment activity, fraudulent transactions, payment abuse, or improper chargebacks may result in cancellation of registration.

Nothing in these Terms limits rights that cannot lawfully be excluded under applicable law.

9. Registration Confirmation

Registration is considered confirmed when the required registration information and payment have been successfully received and accepted.

An exhibitor may receive an electronic confirmation at the email address provided during registration.

Exhibitors should retain their confirmation for their records.

An automated form submission acknowledgement does not necessarily constitute final acceptance where a registration is subject to further review, verification, or payment confirmation.

10. Exhibition Space

Unless otherwise stated by Art Barn International, each standard exhibitor registration includes:

  • One approximately 8 ft × 6 ft exhibit space;

  • One exhibitor badge;

  • Access to the exhibition during applicable Show periods;

  • Inclusion in the Official Show Directory, where applicable; and

  • Access to exhibitor networking opportunities associated with the Show.

Exhibition space dimensions are approximate and may be adjusted where reasonably necessary because of venue layout, safety requirements, attendance, operational requirements, or circumstances outside the organizer’s reasonable control.

Exhibitors may not expand beyond their allocated space without prior authorization.

11. Space Allocation

Exhibition spaces will be assigned by Art Barn International.

Unless expressly confirmed otherwise, registration does not guarantee:

  • A particular booth number;

  • A particular floor position;

  • Corner placement;

  • Placement beside or away from another exhibitor;

  • Proximity to an entrance, stage, aisle, or attraction; or

  • Any specific visitor traffic level.

The organizer may change an exhibitor’s assigned location where reasonably necessary for operational, safety, logistical, accessibility, or venue-related reasons.

12. Exhibitor Badges

Each standard exhibitor registration includes the badge allocation stated in the registration materials.

All personnel working, representing, or assisting at an exhibition space may be required to possess an appropriate badge or credential.

Badges:

  • Must be used only by the person to whom they are issued;

  • May not be sold or improperly transferred;

  • Must be displayed where required;

  • Must be presented upon reasonable request by event staff or venue security; and

  • May be withdrawn where there is serious misconduct or misuse.

Additional badges, where available, may be subject to additional fees.

13. Tables, Chairs, Equipment and Additional Services

Tables, chairs, electricity, display equipment, additional badges, transportation, storage, shipping services, or other optional services are not included unless expressly stated.

Where optional rentals or additional services are offered:

  • They may be subject to availability;

  • Additional charges may apply;

  • Orders may be subject to deadlines;

  • Exhibitors must comply with the provider’s requirements; and

  • Late requests may not be accommodated.

Exhibitors should not assume that furniture, electrical connections, display walls, lighting, internet connectivity, or specialized equipment will be supplied unless expressly confirmed.

14. Installation and Setup

Exhibitors are responsible for installing and arranging their own exhibition areas unless otherwise agreed.

Displays must:

  • Remain within the allocated exhibition space;

  • Be structurally stable;

  • Be professionally and safely presented;

  • Avoid obstructing aisles, entrances, exits, emergency routes, neighbouring exhibitors, or accessibility paths;

  • Comply with venue safety requirements;

  • Avoid damaging venue property; and

  • Follow reasonable instructions from Art Barn International or venue personnel.

The organizer may require an unsafe or inappropriate display to be modified or removed.

15. Artwork and Exhibited Materials

Exhibitors are responsible for all artwork, merchandise, materials, equipment, fixtures, displays, packaging, personal belongings, and other property brought to the Show.

The exhibitor confirms that they have the right to exhibit, display, promote, distribute, or sell the materials presented at their space.

Artwork or materials must not knowingly:

  • Infringe another person’s copyright, trademark, privacy, publicity, or other rights;

  • Be counterfeit or fraudulently represented;

  • Violate applicable law;

  • Create an unreasonable safety hazard;

  • Include prohibited or dangerous materials without appropriate authorization; or

  • Be falsely represented as authentic, original, or created by a particular artist.

16. Intellectual Property

Ownership of artwork remains with the artist, exhibitor, copyright owner, or other lawful rights holder.

Registration for the Show does not transfer ownership of an exhibitor’s copyright or other intellectual property to Art Barn International.

Each exhibitor is responsible for securing any permissions necessary to exhibit works owned or created by another person.

Exhibitors must not reproduce, copy, distribute, or commercially exploit another exhibitor’s work without appropriate permission.

17. Sales of Artwork and Merchandise

Where sales are permitted at the Show, exhibitors are responsible for managing their own sales unless Art Barn International expressly provides otherwise.

The exhibitor is responsible for:

  • Setting prices;

  • Representing artwork accurately;

  • Completing customer transactions;

  • Providing receipts where appropriate;

  • Handling returns or disputes relating to their own sales;

  • Collecting and remitting applicable taxes where required;

  • Complying with relevant sales and business requirements; and

  • Delivering purchased artwork or merchandise to customers.

Unless otherwise expressly agreed in writing, Art Barn International is not a party to an independent transaction between an exhibitor and a purchaser.

18. Taxes, Licences and Permits

Exhibitors are responsible for determining and complying with any tax, permit, licence, registration, customs, business, or regulatory requirements applicable to their own activities.

This may include requirements relating to:

  • Retail sales;

  • Sales tax;

  • Business registration;

  • Resale;

  • Imports and exports;

  • Customs;

  • Employment;

  • Copyright;

  • Insurance; and

  • Professional or commercial activity.

Art Barn International does not provide individual tax, immigration, customs, accounting, or legal advice to exhibitors.

19. Shipping, Delivery and Collection of Artwork

Exhibitors are responsible for arranging the transportation of their artwork and materials to and from the Show unless another arrangement is expressly confirmed.

This includes responsibility for:

  • Packaging;

  • Shipping costs;

  • Courier charges;

  • Insurance;

  • Customs documentation;

  • Import or export requirements;

  • Duties and taxes;

  • Delivery scheduling;

  • Collection; and

  • Storage.

Art Barn International is not responsible for delays caused by carriers, customs authorities, border controls, freight handlers, or other third parties.

Exhibitors should not send artwork or equipment to the venue without following any delivery instructions provided by the organizer.

20. International Exhibitors

International exhibitors are responsible for determining and satisfying the requirements necessary for travel to, participation in, and departure from the United States.

This may include:

  • Passport requirements;

  • Visa requirements;

  • Travel authorizations;

  • Immigration requirements;

  • Customs requirements;

  • Transportation;

  • Accommodation;

  • Travel insurance; and

  • Import or export requirements for artwork.

Registration for the Show does not constitute immigration advice or a guarantee of permission to travel to or enter the United States.

21. Official Invitation Letters

Where available, an international exhibitor may request an Official Invitation Letter in connection with participation in the Show.

Invitation Letters may be issued only after:

  • Registration information has been received;

  • Applicable registration fees have been paid and verified; and

  • Any information reasonably required to prepare the letter has been supplied.

An Official Invitation Letter:

  • Confirms information relating to the Show and/or the exhibitor’s registration;

  • Is provided only as supporting documentation;

  • Does not constitute sponsorship of immigration status;

  • Does not guarantee the issuance of a visa;

  • Does not guarantee admission into the United States; and

  • Does not make Art Barn International responsible for any decision relating to travel, immigration, or border entry.

Exhibitors remain solely responsible for making their own visa and travel arrangements.

22. Visa Refusal or Travel Difficulties

A visa refusal, delayed visa application, missed appointment, inability to obtain travel documentation, flight disruption, inability to enter the United States, or other personal travel difficulty does not automatically entitle an exhibitor to a refund.

Any cancellation or refund request arising from such circumstances will be handled in accordance with the Cancellation & Refund Policy and applicable law.

Exhibitors are encouraged to consider applicable cancellation conditions before making non-refundable travel arrangements.

23. Accommodation and Transportation

Any accommodation, airport transportation, local transportation, travel, shipping, or similar information provided by Art Barn International is provided for exhibitor convenience.

Unless expressly stated otherwise, exhibitors are responsible for making and paying for their own:

  • Flights;

  • Visa costs;

  • Hotel reservations;

  • Ground transportation;

  • Meals;

  • Travel insurance;

  • Shipping; and

  • Other travel expenses.

Any independent hotel, transport operator, airline, courier, or third-party service provider is responsible for its own services.

24. Exhibitor Conduct

Exhibitors must conduct themselves professionally and respectfully.

The following may result in intervention, removal, or cancellation of participation where sufficiently serious:

  • Harassment;

  • Threats;

  • Violence;

  • Discriminatory conduct;

  • Deliberate disruption;

  • Fraud;

  • Theft;

  • Intimidation;

  • Dangerous behaviour;

  • Deliberate property damage;

  • Persistent violation of event instructions;

  • Sale or display of prohibited materials;

  • Unauthorized solicitation outside an assigned area; or

  • Conduct that creates a material safety or operational risk.

Art Barn International may take reasonable action necessary to protect attendees, exhibitors, personnel, venue staff, and the event.

25. Safety and Venue Rules

Exhibitors must follow all reasonable venue and event safety requirements.

Displays must not:

  • Block emergency exits;

  • Restrict aisles;

  • Interfere with fire equipment;

  • Create tripping hazards;

  • Exceed applicable space restrictions;

  • Use unsafe wiring;

  • Introduce hazardous substances without permission;

  • Use open flames without authorization; or

  • Otherwise create an unreasonable health or safety risk.

The organizer or venue may inspect exhibits for safety purposes and may require corrective action.

26. Damage to Venue or Event Property

Exhibitors are responsible for damage they or persons acting on their behalf intentionally or negligently cause to:

  • Venue property;

  • Exhibition equipment;

  • Furniture;

  • Fixtures;

  • Walls;

  • Floors;

  • Electrical systems; or

  • Other event property.

Exhibitors must not drill, nail, paint, permanently attach materials, or otherwise alter venue property except where expressly permitted.

27. Responsibility for Personal Property and Artwork

Exhibitors remain responsible for safeguarding their artwork, inventory, cash, equipment, devices, personal belongings, and other property.

Exhibitors should take appropriate precautions, including obtaining insurance where appropriate.

Art Barn International will use reasonable care in organizing the event but cannot guarantee that loss, theft, accidental damage, or third-party interference will never occur.

Nothing in these Terms excludes or limits liability to the extent that such liability cannot lawfully be excluded or limited.

28. Insurance

Exhibitors are encouraged to maintain insurance appropriate to the nature and value of:

  • Their artwork;

  • Exhibition materials;

  • Equipment;

  • Business activities;

  • Travel; and

  • Potential liabilities.

Where the venue or organizer requires evidence of particular insurance coverage, affected exhibitors will be notified.

The organizer’s insurance should not be assumed to cover an exhibitor’s artwork, stock, equipment, business activities, or personal property.

29. Photography, Video and Event Recording

The Show may be photographed, filmed, livestreamed, or otherwise recorded for purposes including:

  • Event documentation;

  • News and editorial coverage;

  • Website content;

  • Social media;

  • Show promotion;

  • Archival records; and

  • Promotion of future events.

By participating in a public exhibition environment, exhibitors acknowledge that they, their exhibition spaces, and publicly displayed artwork may incidentally appear in event photographs or recordings.

This provision does not transfer ownership of an exhibitor’s underlying artwork or intellectual property to Art Barn International.

Where a specific commercial use requires additional permission under applicable law, such permission may be requested separately.

30. Official Show Directory

Art Barn International may include exhibitor information in an official event directory or exhibitor listing.

Information may include:

  • Exhibitor or display name;

  • Company or organization name;

  • Exhibitor type;

  • Art medium;

  • Booth or space number;

  • Public website or social media information; and

  • Other information intended for public exhibitor identification.

Private payment information will not be intentionally included in the public directory.

31. Brochure Advertising

Exhibitors may indicate whether they are interested in advertising in the World Art Project International Show Brochure.

Advertising participation is separate from standard exhibitor registration unless expressly stated otherwise.

Where applicable:

  • Additional fees may apply;

  • Advertisements are subject to available space;

  • Advertising copy must meet submission specifications;

  • Art Barn International may reasonably reject unsuitable advertising content; and

  • Advertising materials must be submitted by the applicable deadline.

For the 2027 Show, exhibitors have been advised that brochure advertising copy should be submitted by April 30, 2027, unless Art Barn International communicates a different deadline.

32. Communications

Exhibitors must provide a valid email address and are responsible for reviewing Show-related communications.

Art Barn International may send operational communications concerning:

  • Registration;

  • Payment;

  • Setup;

  • Exhibitor instructions;

  • Schedule changes;

  • Event access;

  • Badges;

  • Safety;

  • Venue information;

  • International exhibitor support; and

  • Other matters necessary to administer participation.

These operational communications are separate from optional promotional marketing.

33. Marketing Communications

Where the registration form provides an option to receive additional Show updates, promotional correspondence, or similar communications, the exhibitor’s selection will be handled in accordance with the applicable Privacy Policy.

Declining optional marketing correspondence does not prevent Art Barn International from sending communications reasonably necessary to administer an existing registration.

34. Privacy and Personal Information

Personal information submitted through the registration process will be handled in accordance with the applicable Art Barn International Privacy Policy and any applicable exhibitor privacy notice.

Exhibitors should review the Privacy Policy before submitting registration information.

35. Cancellation by the Exhibitor

All exhibitor cancellation requests and eligibility for refunds are governed by the separate Cancellation & Refund Policy in effect for the Show.

Submitting a cancellation request does not automatically establish entitlement to a full or partial refund.

Exhibitors are responsible for reviewing the Cancellation & Refund Policy before completing payment.

36. Substitutions

Where permitted, an exhibitor may request to substitute another eligible participant.

Substitutions:

  • Must be requested in accordance with event procedures;

  • Require approval by Art Barn International;

  • May be subject to applicable administrative fees;

  • Must be completed before applicable deadlines; and

  • May require updated badge and registration information.

A substitution does not permit the sale or unauthorized transfer of exhibition space.

37. Cancellation, Postponement or Modification of the Show

Art Barn International may reasonably modify the Show where necessary because of circumstances including:

  • Venue requirements;

  • Safety concerns;

  • Public emergencies;

  • Severe weather;

  • Government restrictions;

  • Utility or infrastructure failures;

  • Labour disruption;

  • Security incidents;

  • Public health issues;

  • Natural disasters;

  • Acts of God;

  • Transportation disruption;

  • Events outside the organizer’s reasonable control; or

  • Other circumstances materially affecting the operation of the Show.

Changes may include modification of:

  • Hours;

  • Dates;

  • Venue areas;

  • Exhibitor layouts;

  • Programming;

  • Services;

  • Access arrangements; or

  • Other operational elements.

If the Show is cancelled or materially postponed, any registration-fee treatment will be determined under the applicable Cancellation & Refund Policy and applicable law.

38. Force Majeure

Art Barn International will not be responsible for failure or delay in performing obligations to the extent caused by circumstances beyond its reasonable control.

Where such circumstances arise, the organizer will make reasonable efforts to communicate material changes to registered exhibitors.

Nothing in this provision affects rights that cannot lawfully be excluded.

39. Removal from the Show

Art Barn International may require an exhibitor to correct conduct or conditions that violate these Terms.

In serious circumstances, the organizer may suspend or terminate participation where reasonably necessary, including for:

  • Material safety risks;

  • Fraud;

  • Violence;

  • Serious harassment;

  • Illegal conduct;

  • Material intellectual-property infringement;

  • Non-payment;

  • Deliberate property damage;

  • Serious disruption of the Show; or

  • Repeated refusal to comply with reasonable safety or operational instructions.

Any question concerning refunds following removal will be handled in accordance with the circumstances, the Cancellation & Refund Policy, and applicable law.

40. Third-Party Services

The Show may involve services supplied by independent third parties, including:

  • Payment processors;

  • Hotels;

  • Airlines;

  • Transportation companies;

  • Couriers;

  • Shipping providers;

  • Rental providers;

  • Venue contractors; and

  • Other suppliers.

Unless otherwise stated, such providers operate independently and may have their own terms, prices, policies, and privacy practices.

Art Barn International is not responsible for independently contracted services provided directly between an exhibitor and a third party.

41. No Guarantee of Sales or Commercial Results

Participation in the Show does not guarantee:

  • Artwork sales;

  • Revenue;

  • Customer enquiries;

  • Media exposure;

  • Awards;

  • Business relationships;

  • Future exhibition opportunities;

  • Sponsorship;

  • Gallery representation; or

  • Any particular number of visitors to an individual exhibition space.

Exhibitors make their own commercial decisions regarding participation.

42. No Employment, Agency or Partnership

Participation in the Show does not create an employment relationship, agency, joint venture, partnership, franchise, or similar relationship between the exhibitor and Art Barn International.

Exhibitors participate as independent individuals or organizations responsible for their own activities.

43. Compliance With Law

Each exhibitor is responsible for complying with applicable federal, state, local, venue, and other requirements relevant to their activities at the Show.

Nothing in these Terms authorizes an exhibitor to engage in activity that would otherwise be unlawful.

44. Limitation of Liability

To the extent permitted by applicable law, Art Barn International will not be responsible for indirect, incidental, special, or consequential losses arising solely from participation in or inability to participate in the Show.

This provision does not exclude or limit liability where such exclusion or limitation is prohibited by applicable law.

Exhibitors remain responsible for obtaining appropriate insurance for artwork, merchandise, equipment, travel, and business risks.

45. Indemnification

To the extent permitted by applicable law, an exhibitor may be responsible for claims, losses, damages, or reasonable expenses arising from the exhibitor’s:

  • Unlawful conduct;

  • Material breach of these Terms;

  • Infringement of third-party intellectual-property rights;

  • Negligent damage to venue or event property; or

  • Unauthorized sale or display of goods.

This provision should be applied only to the extent permitted by applicable law.

46. Governing Law

Unless otherwise required by applicable law, these Terms will be governed by the laws applicable in the Commonwealth of Pennsylvania, United States, without regard to conflict-of-law principles.

Any dispute concerning these Terms should first be raised directly with Art Barn International so that the parties have a reasonable opportunity to attempt to resolve the matter.

Nothing in these Terms prevents either party from exercising rights available under applicable law.

47. Severability

If any provision of these Terms is found to be invalid, unlawful, or unenforceable, that provision will be interpreted or limited to the minimum extent necessary, where permitted, and the remaining provisions will continue in effect.

48. No Waiver

Failure by Art Barn International to enforce a provision of these Terms on one occasion does not constitute a permanent waiver of that provision or any other provision.

49. Changes to These Terms

Art Barn International may update these Terms where reasonably necessary because of changes to:

  • The Show;

  • Venue requirements;

  • Registration procedures;

  • Applicable law;

  • Payment arrangements;

  • Operational requirements; or

  • Other relevant circumstances.

The date of the latest version will be displayed at the top of the Terms.

Where a material change affects an existing paid registration, reasonable notice will be provided where appropriate.

50. Entire Agreement

These Terms, together with the documents expressly incorporated by reference, including the:

  • Privacy Policy; and

  • Cancellation & Refund Policy,

constitute the applicable written terms governing exhibitor registration and participation in the Show, subject to any additional written agreement specifically entered into between Art Barn International and an exhibitor.

52. Exhibitor Acknowledgement

By submitting the registration form and accepting these Terms, the exhibitor confirms that:

  1. The registration information provided is accurate to the best of their knowledge.

  2. They have reviewed the applicable registration fee.

  3. They understand that payment is required to complete registration unless otherwise approved.

  4. They have read and agree to these Exhibitor Registration Terms & Conditions.

  5. They have reviewed the Cancellation & Refund Policy.

  6. They acknowledge the applicable Privacy Policy.

  7. They understand their responsibilities concerning artwork, exhibition materials, travel, insurance, sales, taxes, and compliance with applicable requirements.

  8. If registering as an international exhibitor, they understand that registration or an Official Invitation Letter does not guarantee visa approval or admission into the United States.

  9. They agree to comply with reasonable event and venue rules necessary for the safe and orderly operation of the Show.

By checking the acceptance box on the registration form and submitting payment, the exhibitor confirms acceptance of these Terms.
